Business: Elizabeth Anthony trading as LPT Fitness for Women

Data Controller: Elizabeth Anthony

Effective Date: 01 October 2026

Review Date: 01 October 2027, or sooner if there is a significant change to how LPT uses personal information.

Purpose

This Privacy Notice explains what personal information LPT Fitness for Women collects, why it is used, how it is protected and shared, how long it may be kept and the rights you have in relation to your information.

LPT Fitness for Women is operated by Elizabeth Anthony, who is responsible for deciding how and why your personal information is used.

Information I Collect

I collect and use information that is reasonably necessary to provide and administer your personal training and coaching service.

This may include your name and contact details, account information, emergency contact details, health and exercise information, medical conditions, injuries and medication information, pregnancy and postnatal information, consultation and check-in records, training programmes, workouts and session records, communications, forms, signed agreements, invoices and payment-related information.

The LPT app may also allow you to record information such as your weight, body measurements, progress photographs, food intake, food photographs, sleep, water intake, heart-rate information and wellbeing information.

If you choose to connect Apple Health on an iPhone or Health Connect on an Android device, the LPT app may also receive information from your phone's health service, including step counts, distance, active calories, workouts (including, on iPhone, the name of the app that recorded the workout), heart rate and sleep information.

Some of this information, particularly information about your physical or mental health, pregnancy and postnatal recovery, is considered special-category personal data and receives additional protection under data-protection law.

Progress photographs, weight, body measurements and food tracking are optional coaching tools. You do not have to use these features in order to receive LPT coaching.

Age

The LPT app and coaching services are intended for people aged 18 and over.

How I Use Your Information

I use your personal information to provide and administer your coaching, support safe participation in exercise, understand information relevant to your health and training, develop and adapt your programme, monitor your progress, communicate with you, manage your LPT account, arrange sessions, maintain agreements and records, administer invoices and payments and respond appropriately to emergencies, safeguarding concerns, complaints or other significant matters.

I only use personal information where there is an appropriate legal basis for doing so and apply the additional requirements that apply when health or other special-category information is processed.

Lawful Basis

Where your personal information is necessary to provide, administer or manage the coaching service you have requested, LPT generally relies on performance of a contract, or taking steps at your request before entering into a contract, as the lawful basis for processing that information.

LPT may also process personal information where this is necessary to comply with a legal obligation, or where LPT has a legitimate interest in appropriately managing, protecting and administering the business, provided that this interest is not overridden by your rights and interests.

Information concerning your health, including relevant medical, injury, pregnancy and postnatal information, is special-category personal data. Where LPT needs to process this information in order to provide the coaching service you have requested, LPT relies on explicit consent as the additional condition for processing this special-category information.

Where processing is based on consent, including optional uses of information that require consent, you may withdraw that consent at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn and may affect LPT's ability to provide a particular feature or element of the service where that information is necessary for it.

The LPT App & Technical Providers

The LPT app is a bespoke system used to provide and administer your coaching service.

AMGO International Limited provides technical, development, hosting and administration support for the app and may have authorised technical access where this is necessary to operate, maintain, secure or support the service.

The core LPT application, database and private client files are hosted using Amazon Web Services infrastructure in the London region.

Cloudflare is used for DNS, proxy and associated security functionality and provides the Cloudflare Workers AI service used for LPT's optional food-intake estimation functionality. In providing these services, Cloudflare may process relevant technical information and information submitted to the optional AI food-analysis feature.

If you allow push notifications, your phone's notification token and the notification text are sent through Expo's push notification service, which passes them on to Apple or Google's push infrastructure for delivery to your device. This text is not limited to generic reminders — it may include a short preview (up to around 120 characters) of real content, such as a message from your coach, or the name of a session, form or challenge. You can turn notifications off in your phone's settings at any time.

The app sends crash and error reports to Sentry to help identify and fix technical faults.

LPT is configured to avoid sending personal information through these reports, although reports may occasionally contain incidental technical information such as your device type, app version or the screen where a fault occurred.

Account emails, such as invitations, reminders and invoices, are sent through LPT's own email service hosted on the Plesk server used for the LPT technical environment.

The LPT website uses Cloudflare Turnstile to help detect and prevent automated attacks when you log in, accept a client invitation, or request an email sign-in code. Turnstile may process technical information such as your IP address and challenge information. Turnstile is not used within the LPT mobile app itself.

Access to client information is restricted to authorised persons and appropriate technical and organisational security measures are used to protect it.

No method of storing or transmitting information can be guaranteed to be completely secure, but LPT and its technical providers take reasonable measures appropriate to the nature and sensitivity of the information being processed.

Information From Your Phone's Health Apps

If you choose to connect Apple Health on an iPhone or Health Connect on an Android device, the LPT app reads your step counts, distance, active calories, workouts (including, on iPhone, the name of the app that recorded the workout), heart rate and sleep information from your phone's health service and shares this information with me so that I can see your activity alongside your training.

The LPT app only reads this information. It does not write information to Apple Health or Health Connect.

Connecting a health service is your choice, and you can disconnect it at any time in the LPT app under Profile and Health, or by removing access in your phone's settings. After you disconnect, the app stops reading and uploading this information.

I use this information only to provide and administer your coaching. It is not used for advertising or marketing and is not sold or shared with data brokers. Health information read from Apple Health or Health Connect is never stored on your device - it is read into the app and sent directly to our servers to support your coaching. This information may include health data and is processed on the basis of your explicit consent.

Artificial Intelligence & Food Tracking

The LPT app includes optional artificial intelligence functionality to help estimate calories and basic macronutrients from food entries.

When you enter a written food description, your food information and limited previous food corrections required to provide the feature are sent through Cloudflare Workers AI for analysis. No user ID is sent with the request, and your name, email address and other account identifiers are not deliberately attached to it.

Please use this feature for food and drink information only and do not include unrelated personal or medical information.

If you choose to use food-photo analysis, your food photograph is sent through Cloudflare Workers AI for analysis. Please photograph your food only and avoid including people, children, medication, documents, addresses or other unnecessary personal information in the image.

AI-generated estimates are indicative only and may be inaccurate. They can be corrected and should not be treated as medical or nutritional diagnosis or treatment.

AI does not independently make coaching decisions, alter your training programme or make changes to your account. Elizabeth Anthony remains responsible for your coaching.

International Processing

The core LPT app and client information are hosted in the United Kingdom.

Relevant information submitted to the optional AI food-analysis functionality is processed through Cloudflare Workers AI. LPT uses the standard Cloudflare Workers AI service and does not use Cloudflare as additional storage for food descriptions, food photographs or AI responses. Worker observability is disabled and LPT does not deliberately log the content submitted to, or returned by, the AI functionality.

Cloudflare operates a global infrastructure and relevant processing may therefore take place outside the United Kingdom. Expo and Sentry may also process information in the United States. Where personal information is transferred internationally, appropriate safeguards are used in accordance with applicable UK data-protection law, including contractual transfer mechanisms where required.

Sharing Your Information

Your personal information is not sold to advertisers or other organisations.

Information may be shared with organisations that provide services required to operate LPT, such as technical, hosting and AI providers, where this is necessary and appropriate.

Information may also be disclosed where you have authorised the disclosure, where LPT is legally required or permitted to disclose it, or where disclosure is reasonably necessary in connection with a serious safety concern, emergency, safeguarding matter, legal claim or other applicable legal obligation.

Where possible and appropriate, you will be informed if your confidential information needs to be disclosed for such a reason.

How Long I Keep Your Information

Personal information is kept only for as long as it is reasonably required for the purpose for which it is held and for any applicable legal, accounting, contractual, insurance, safety or evidential requirements.

Information required to provide your coaching is normally retained while you are an active client.

Health screening records that are specifically designated as health screening forms may be retained for up to six years after you request deletion of your account, where there is an appropriate continuing reason to retain them.

The associated form assignments and signatures may also be retained for this purpose. Unless a legal hold or other lawful reason requires longer retention, these records will be automatically deleted when the applicable retention period ends.

Other form submissions are normally deleted as part of the account deletion process after the 30-day deletion period.

Optional coaching information, such as progress photographs, body measurements, weight and food-tracking information, will normally be deleted when it is no longer required for your coaching unless there is a specific reason for retaining particular information.

Financial and accounting records are retained for the period required by applicable tax and accounting requirements.

Some deleted information may remain temporarily within secure system backups. Current LPT backups are retained for approximately seven days before expiring through the normal backup cycle.

Deleting Your LPT Account

You may request deletion of your LPT account through the LPT app. Your account will be deactivated immediately when a deletion request is made.

This means you will no longer be able to access or use the account while the deletion process is completed.

The app will automatically erase your client data after 30 days. Certain information may continue to be retained where there is an appropriate legal, accounting, contractual, insurance, safeguarding or evidential reason for doing so.

Ordinary form submissions and other client-specific app information that is no longer required will be deleted as part of this process.

Health screening forms that have been specifically designated for longer retention, together with their associated assignments and signatures, may be retained for up to six years in accordance with the retention arrangements described above.

Signed agreements, invoices and other information that LPT has an appropriate reason or obligation to retain will continue to be retained for the applicable period.

Where an underlying system record needs to remain for technical database integrity, identifying information may be anonymised and account access will remain disabled.

Information deleted from the live system may also remain temporarily within secure system backups until those backups expire through the normal backup cycle.

Photography, Testimonials & Marketing

Progress photographs or other images used privately as part of your coaching are separate from permission to use your image publicly.

LPT will not use an identifiable photograph, video, testimonial or other personal information for marketing purposes without appropriate separate permission.

You can decline marketing permission without affecting your coaching service.

Where marketing use is based on your consent, you may withdraw that consent for future use. Withdrawal will not necessarily make it possible to retrieve material that has already been lawfully published or distributed.

Your Rights

Depending on the circumstances and the legal basis on which your information is processed, you may have rights to access the personal information LPT holds about you, ask for inaccurate information to be corrected, request deletion of information, request restriction of processing, object to certain processing and receive certain information in a portable format.

Where processing is based on your consent, you may withdraw that consent at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.

Not every right applies in every situation, and some information may need to continue to be retained where LPT has an appropriate legal reason to do so. The ICO confirms that the applicable rights depend partly on the lawful basis used for the processing.

Your Right to Object

Where you have a legal right to object to particular processing of your personal information, you can contact LPT and ask for that processing to stop.

Whether the objection can be upheld will depend on the purpose of the processing and the lawful basis on which LPT is relying.
